Overview
SnapApp provides built-in support for sending and receiving emails directly from records.
This allows teams to communicate with external users without leaving the SnapApp platform.
Email communication in SnapApp works in two directions:
- Outbound Email → Emails sent from SnapApp to external users
- Inbound Email → Emails sent to SnapApp from external users
Together, these features enable complete email conversation tracking, ensuring that all communication related to a record stays in one place.
What is Outbound Email?
Outbound Email refers to emails that are sent from SnapApp to an external recipient.
Typical use cases include: - Sending follow-up emails to contacts - Notifying users about updates or actions - Responding to customer queries - Sharing record-specific information
SnapApp uses SendGrid as the email delivery provider to ensure reliable and secure email delivery.
What is Inbound Email?
Inbound Email refers to emails that are received by SnapApp from external users.
This is commonly used when: - A recipient replies to an email sent from SnapApp - An external user sends a new email to a SnapApp-managed address
Inbound emails are automatically:
- Received at a configured SnapApp email address
- Linked back to the appropriate record
- Visible inside the SnapApp interface
This enables a full email conversation thread within SnapApp.

Steps to configure Inbound Email
Inbound email configuration is required before SnapApp can receive replies or new emails from external users.
Step 1: Open Email Settings
- Click on Settings from the User menu in the top navigation bar.
- Under Global Settings, select Receive inbound emails.
This section controls how SnapApp listens for and processes incoming emails.
Step 2: Choose an Email Provider
- Select an Email Provider:
- SendGrid
- MailChimp
The selected provider is responsible for routing incoming emails to SnapApp securely.
Step 3: Configure the Reply-To Address
- Set the Reply-To email address.

Any email sent or replied to this address will be received and processed by SnapApp.

Once this configuration is saved, SnapApp is fully ready to receive inbound emails.
Steps to send Outbound Email
Outbound emails can be sent directly from records, ensuring that all communication stays contextually linked.
Method 1: Send Email from a Record
- Open a record.
- Click the Send Mail button available on the record page.
- Compose the email and send it.
This is the most common method for record-based communication.
Method 2: Send Email from Activities
- Navigate to the Activities section of a record.
- Select Email.
- Compose and send the message.
This method is useful for logging email interactions as activities.
Method 3: Send Email from Related List
Emails can also be sent directly from the Related List associated with a record, offering flexibility in how emails are initiated.
Step: Compose the Email
While composing an outbound email, you can: - Enter a Subject - Write the Email Body - Choose an existing Email Template - Review recipients before sending

Once sent, the email is delivered to the recipient via SendGrid.

Step 2: External User Receives the Email
- The recipient receives the email in their inbox.

Step 3: External User Replies
- The recipient replies to the email.
- The reply is automatically sent to the configured SnapApp inbound email address.

Step 4: Reply Received in SnapApp (Inbound)
- SnapApp receives the email at: snapapp@bluevector.ai
- The email is captured and linked to the original record.

This completes a full two-way email conversation inside SnapApp.
