Duplicate Rules in SnapApp
In SnapApp, Duplicate rules enforce data integrity by identifying and preventing the creation of duplicate records, ensuring accuracy and efficiency in database management.

Create a Duplicate Rule
- Navigate to Settings:
- Go to the User menu on the top bar.

Select Settings.

Application Settings:
- In the left navigation bar, click on Application Settings.

Select Global Settings.

Enable Duplicate Detection:
- Scroll down to Duplicate Rules under SnapApp Features.

Enable it.

Duplicate Rules Section:
- In the left navigation bar, go to Data.

Select Duplicate Rules.

Add New Rule:

Click on “+ Add New” in the top header.

Configure Rule Details:
- Name: Enter a suitable name.
- Object ID: Select from the dropdown.
- Description: Briefly describe the rule.
- Record Sharing Rules: Choose between Sharing Rules or Bypass Sharing Rules.
After configuring the basic settings for the duplicate rule, you need to specify the actions to take when a duplicate record is detected.
- Specify Actions for Creating and Editing Duplicates:
- Action on Create: Determine whether to allow or block the creation of a duplicate record.

Action on Edit: Decide whether to permit or restrict the editing of a duplicate record.

Specify When to Trigger Actions:
- On Create Message: Choose to display a message when a duplicate record is detected upon creation.
- On Create Log: Opt to log the event when a duplicate record is detected upon creation.
- On Edit Message: Choose to display a message when a duplicate record is detected upon editing.

On Edit Log: Opt to log the event when a duplicate record is detected upon editing.

Steps to Configure Action Settings
- Navigate to Duplicate Rules Section:
- In the left navigation bar, go to Data.

Select Duplicate Rules.

Add New Rule:

Click on “+ Add New” in the top header.

Configure Rule Details:
- Name: Enter a suitable name.
- Object ID: Select from the dropdown.
- Description: Briefly describe the rule.

Record Sharing Rules: Choose between Sharing Rules or Bypass Sharing Rules.

Define Action Settings:
- Action on Create:
- Select Allow or Block.
- Enable On Create Message by checking the checkbox.
- Enable On Create Log by checking the checkbox.

Action on Edit:
- Select Allow or Block.
- Enable On Edit Message by checking the checkbox.
- Enable On Edit Log by checking the checkbox.

Add and Activate Message Text:
- Enter the message to display when a duplicate is detected.

Check the Active checkbox to enable the message.

Define Matching Rules:
- Add Required Field: Select from the dropdown.
- Matching Method: Choose Fuzzy or Exact.

Match Blank Rules: Enable if needed →
Save

Save Duplicate Rule:
- Save the rule on the Add Duplicate Rule page.
Finally, your Duplicate Rule is ready for Duplicate Detection. You can repeat the steps described above to add multiple Duplicate Rules.

Edit Duplicate Rule
- Navigate to Settings from the User menu of the top bar.
- Tap on Duplicate rules from the Data menu of the left navigation bar.
- Tap on the Duplicate Rule in the list that you want to edit →

We can also search the duplicate Rules from the global search and can directly edit the duplicate rule
Delete a Duplicate Rule
- Navigate to Settings from the User menu of the top bar.
- Tap on Duplicate rules from the Data menu of the left navigation bar.
- Tap on the Duplicate Rule in the list that you want to delete →

How to merge Duplicate Records
- Duplicate Rule must be created
- The Duplicate Rule must detect multiple duplicate records
Steps to merge Duplicate records
- Navigate to Settings from the User menu of the top bar.
- Tap on Duplicate rules from the Data menu of the left navigation bar.
- tap on the duplicate rule where we want to merge our duplicate records
- Tap on the User menu in the top right corner
- If the duplicate rule is detecting any duplicate records, then the count of duplicate records will be shown there.

Now tap on the Duplicate Records in the user menu which will lead to a new view containing the multiple duplicate records

Tap on the merge option on the right side of the duplicate record which will lead to the merge duplicate record page
